MINUTES OF THE BOARD OF TRUSTEES MEETING
May 1, 2017

**Minutes are considered to be in DRAFT form until approved at the next scheduled meeting**

The Board meeting was called to order at 7:15 PM

In attendance: Alyson Grzyb, Carrie Gutbier, Cindy Pike, John Spencer, Phyllis Skidmore (Librarian), Dave Van De Water, Bill Budde (Russell Collection), Sheila Kearns, Dave Thomas

Absent: Henry Cochran, Charlie Cummings, Simon Metcalf, Brian Allen

The only addition to the agenda was to discuss Henry and Bob as trustees. This will be filed under new business.

Minutes
• March 2017 – Cindy moved that the March minutes be approved as written. Sheila seconded. The motion was unanimously approved.
• April, 2017 – One correction was made to replace “Cindy” with “Carrie” in the discussion regarding landscaping. Carrie made a motion to accept as corrected, Cindy seconded. The motion was unanimously approved.

Treasurer’s Report (summary):
• Cindy reported that we were a little over budget for the first quarter but believes it should turn around. No concerns.
• John reported that the contributions from the Annual Fund was at approximately $41,000 since the appeal letter went out in November. John will send a more detailed report at the next meeting

Librarian’s Report (summary):
• Book sale and raffle added money to the library’s funds. Details are in the report.
• There was a discussion about whether a book sale was worth it. It’s always hard to determine.
• The book sale at the Community House will open Memorial Day weekend.
• Alyson mentioned that she liked the way Phyllis put the programming schedule in the body of the email for the librarian’s report. Others agreed

Russell Collection Report
• Bill reported a couple of visitors in the last month, one from Nebraska
• Tom Weakley will be donating some items to the Russell Collection

Adult Programming
• VT Humanities Programming in May (May 7)
• Don Keelan is set for June
• David V. suggested that the Arlington Rescue squad might be a possibility

Old Business:

1. Light bulb switch out – Phyllis has done some but more remain. Dave V will look for some volunteers; Alyson can be here Thursday evening starting at 6PM. She encouraged others to join, if possible.
2. Landscape work – No word on landscaping. The message was given to proceed.
3. Magazine subscriptions – New Yorker and Mother Earth News have been added to the list.
4. Long range planning – Alyson compiled the suggestions for the long range plan and asked for comments. It’s 9 pages long. The group reviewed the final document. Cindy moved to accept the long range plan as written. Dave T. seconded. The motion was unanimously approved.

New Business:

1. Started a discussion about how many people are required to constitute a quorum. Alyson will take a stab at writing some new wording to potentially modify the by-laws.
2. Alyson spoke with Henry Cochran about continuing as a trustee. Henry said that if we had someone else who could take his spot, it would be great. Alyson has lined up Bob Dudley as a “replacement”. He agreed to join on the condition that he not be requested to do adult programming.
3. Cindy moved that we accept Henry’s email to Alyson as his resignation from the board of trustees. Carrie seconded. The motion was unanimously approved.
4. Dave T. moved that we accept Bob Dudley as a new trustee. David V. seconded. The motion was unanimously approved.
