MINUTES OF THE BOARD OF TRUSTEES MEETING
April 4, 2016

**Minutes are considered to be in DRAFT form until approved at the next scheduled meeting**

The Board meeting was called to order at 7:05PM

In attendance: Cindy Pike, Alyson Grzyb, Darcy Nutter, Carrie Gutbier, Martha Folsom, Gracie Smith, Susan Bauers and Phyllis Skidmore (librarian).
Absent: Dave Thomas, Henry Cochran, Joe Zimmerman, and Brian Allen

Corrections and approval of minutes: Martha moved to approve the minutes, Alyson seconded, motion approved.

Librarian's Report
• Book Sale—Book sales were down by ½ this year. Some books from the sale upstairs in the library sold.
• Gallery—two pieces sold from the Skoug show.
• Adult programming—there was much higher attendance at the most recent programs. Over 60 people attended Bill Budd's program on statehood
• Basement clean up—Phyllis has a little more to do. Plan is to recycle as much as possible. Bill Budd will take the electronics and Carrie will pick up the cardboard.
• Martha's Bookhouse plans to open on May 20. Books will be moved from the basement.
• Book donations—Phyllis to work with Wolf, Bob, and the Advocate's Group to develop a process to make book donations, sorting, and selling more streamlined.


Treasurer's Report
• Running normally.
• Painting contractor will bill upon completion of work.

Old Business
1. Building and Grounds update
• Basement insulation update: Basement insulation to begin after April 1.
• Landscaping update: Carrie presented a quote and drawing of the proposed landscaping for the area in front of the children's room. Quoted price is $3,000. Carrie will follow up with questions for Brandon Tschorn and work will be finalized at the May meeting.
• Light Fixtures and Heat Pump Quote for the Russell Collection: Randy Novotny brought two light samples and estimates for the reading room lights. Nine (9) lights are need. The recessed LED is $160 ea. /total $1,440 and the Flush Mounted LED is $130 ea. /total $1,170. Cindy motioned to replace the reading room lights with the recessed LED lights at $160 ea. including labor. Alyson seconded. Motion approved. Phyllis will ask about removing the boxes and follow up with Secord Group about insulation and the heat pump.
2. GNAT: Gracie is still trying to connect with them. Plan is to shoot a commercial about the Library for the 20th anniversary party.
3. 20th Anniversary Committee Meeting Review
• All program information has been sent to Dave VanDerWater
• Set up for the celebration will be Saturday, June 4 at 3:00
• Martha outlined the Legacy Table and mentioned that volunteers are the backbone of the library. If we had more staff, our costs would go up.
• Plan for the next anniversary meeting is to lie out tables.
4. Chamber of Commerce update—we'll continue to send posts.
5. Community Dinner Fundraiser—more details will be available closer to the date.
6. Board Member Attendance Sheet—Tabled.

New Business
1. Fundraising Update—Tabled.
2. Committee Updates
• Advocate's Group: Book sales were down; 50/50 raffle is postponed until the auction event in October; there is interest in participating in Norman's Attic. The October event will not have a live auction but will have a dessert auction and a silent auction.
• Adult Program Director—Martha's term on the board is up in February. We'll need a new adult program director. Martha is willing to help the new person learn the ropes.
