MINUTES OF THE BOARD OF TRUSTEES MEETING
September 12, 2016

The Board meeting was called to order at 7:06 PM

In attendance: Cindy Pike, Alyson Grzyb, Dave Thomas, Carrie Gutbier, Joe Zimmerman, Phyllis Skidmore (librarian), Brian Allen, Simon Metcalfe

Absent: Susan Bauers, Henry Cochran, Martha Folsom

Guests: David VanDeWater

Minutes (August, 2016):
• Corrections to Minutes
o Henry Cochran not present
o Alyson’s name spelled wrong
o Treasurer’s report said advocates doing the tag sale, but Cindy was responsible
o Need a person to fill Darcy’s seat, and need a person from current board to fill in as president
• Motion to approve minutes – Brian (motion), David (2nd)

Librarian’s Report (summary):
• Three resumes for Assistant Librarian. Current Assistant will leave at the end of September. Interviewing Thursday this week.
• The board discussed and approved a parting gift for the Assistant Librarian
• News on break in of library. Identified a suspect, charged with burglary, unlawful mischief, and other charges.
• Phyllis is checking into alarm monitoring, costs and details. Minor damage to the door, and lost the lucite donation box, $75.00 lost in total.
• Advocates – 50-50 raffle, tickets are $1 or 6 for $5, tickets at Library or Martha’s Bookhouse, proceeds ½ library, ½ winner. They are also going to do the craft fair and basket raffle (drawing proposed December 15) – baskets will be going out November 18. The board will do a basket, theme TBD. Crafters needed for Craft Sale (library gets 25%).
• Little Libraries – Phyllis went to Arlington selectboard. They want a written agreement that we will maintain the little library if it is put at the rec park. Alyson suggested putting one up at the library. Phyllis will look into this, and putting one in at the Bookhouse.

Treasurer’s Report (summary):
• Income from tag sale - $439.45
• Expenses and income running normally
• Approximately $34,000 should be needed in annual fund.
• Discussed having some local citizens/patrons signing the annual fund letters, in addition to one trustee

Events:
• Art show, Gallery Opening - October 1st
• Genealogy program September 21st
• Brian moved to authorize the board to offer the new assistant a range of between $10 and $13 per hour. Phyllis and Cindy will recommend a salary based on the qualifications of the candidate. Carrie seconded the motion.
• Volunteer recognition party, Sunday November 6th, 3-4PM.

Buildings and Grounds Update:
A. Possible rebate from efficiency Vermont for renovations up to $1,100
B. Grant for Efficiency Vermont Deep Retrofit Pilot. (Energy saving renovations), must start spring 2017 and be done by December 2017.

Old Business:
1. Ham and Bean supper at Federated Church of East Arlington on Saturday, September 17th. Phyllis will send email to newsletter subscribers
2. Nominating Committee (Martha absent, tabled)
3. Long Range Planning
A. Board members filled out ideas on paper, Alyson to compile and bring back to next meeting
4. Berkshire bank declined our application for Russell Collection environmental update funding. However, Brian was encouraged to apply for a $3,000 grant for programming. It was suggested that Brian work with Bill Budde to see if we could get some speakers here to discuss history (Arlington, Southern Vermont, Vermont State).
