 General

The principal purpose of the Library Meeting Room is to provide a space for the Library to conduct educational, cultural and recreational programs for its patrons.  Upon application, nonprofit and for-profit organizations, as well as individuals, may be granted use of the Meeting Room.  If approved, a fee may be charged to cover room preparation, cleaning and security costs.

Use for non-Library functions

Any group or individual wishing to use the meeting room completes and signs the Meeting Room Usage Request Form.  The Library reserves the right to grant or refuse usage for any reason. Programs or events that would be disturbing to patrons' use of the library will not be permitted during library hours. Occupancy of the room, per fire regulations, is limited to 49 people.

Should any group or individual's proposed use of the Meeting Room give rise to a question of safety to library personnel, property or the general public the President of the Trustees shall be consulted before approval is given for use of the room.

Permission to use the library facilities neither constitutes nor implies an endorsement of the user's beliefs by the library staff or the Board of Trustees. The user’s publicity for the event must not imply Library sponsorship of the event.

The Rental Fee is due prior to rental. Checks are payable to the Martha Canfield Library. Reservations for use of the Meeting Room are limited to a three month period.

The using group or individual assumes responsibility for injuries and loss of, or damage to, any property of the library.

The Meeting Room, kitchen and bathroom will be left in a clean and orderly manner. No food should be left in the refrigerator. Smoking and alcohol are not permitted in the building. Arrangements must be made in advance for opening and closing of the library for any meetings being held when the library is normally closed.
